What Sustainability Is Starting To Mean For Event Production

Sustainability has moved from an optional talking point to a standard item on corporate event briefs. Clients who would never have mentioned it five years ago now routinely ask about energy consumption, waste reduction, and carbon footprint. The question is whether the answers they're getting reflect reality or just better PR.

The honest position is somewhere between the two.

What Event Production Actually Consumes

A medium-sized corporate event — two hundred to five hundred guests, three to four hours of programming, proper sound and lighting — consumes significant energy. Professional sound systems draw several kilowatts continuously. Lighting rigs, particularly those with LED moving heads and pixel-mapped installations, add substantially to that. Climate control for a full venue operating in summer is often the largest single energy consumer in the building.

None of this is unique to events. But it concentrates consumption in a way that's easy to measure, which makes it easy to target.

Temporary structures add material waste. Printed programmes, branded materials, single-use decoration elements, and catering packaging all represent waste streams that many events still haven't systematically addressed. A gala dinner for five hundred generates a quantity of food waste and packaging waste that would surprise most clients if they saw it collected in one place.

Travel is the biggest item. If a hundred guests fly from different cities to attend a corporate event, the flight emissions alone dwarf every other sustainability consideration. The sound system, the lighting, the single-use branded materials — all of it is noise compared to the flight footprint of a large-format event.

What Clients Are Actually Asking For

In practice, sustainability requests at events cluster around a few specific areas: reduced single-use plastics, reusable or locally sourced materials, LED lighting over tungsten, digital over printed materials, and some form of carbon offset or donation to offset travel.

These are real and achievable. Most professional event production has already shifted away from tungsten to LED as a practical matter — the energy efficiency and flexibility of LED is simply better. Digital programmes and communications were standard before sustainability became the driver. Locally sourced catering is a meaningful request that good caterers can accommodate.

What clients rarely ask about — and what would have significantly more impact — is the event format itself. Fewer attendees flying to a central location and more people attending regionally or remotely would do more for the sustainability profile of a large conference than any amount of LED lighting swaps. But that's a conversation about the event design, not the production elements, and most sustainability discussions happen too late in the planning process to influence design decisions.

Where DJ Equipment Fits

DJ equipment sits at the intersection of audio production and event technology. The sustainability question for DJ equipment is more specific than for general event production.

Modern professional DJ controllers and mixers are relatively efficient devices. The power consumption of a CDJ-3000 or a standard four-channel mixer is modest — an order of magnitude less than the amplification required to drive a room at event levels. The energy consumption of a DJ's equipment is not a meaningful variable in the overall sustainability profile of an event.

The sound system is more significant. Class D amplifiers are substantially more efficient than older Class AB designs. Modern line array systems are more efficient per SPL unit than the previous generation of equipment. For production companies willing to specify accordingly, there are real efficiency gains available.

But these gains are marginal compared to the travel question. A DJ flying from another country to play an event contributes far more to the event's carbon footprint than the entire audio system running for six hours. That's not an argument for not flying DJs internationally — it's an argument for being clear-eyed about where sustainability gains are actually available.

The Gap Between Requests and Impact

There's a systematic disconnect in how sustainability is discussed at events: the items that are easy to specify and visible to guests — reusable cups, LED lighting, digital programmes — receive disproportionate attention. The items with the largest actual impact — travel patterns, venue location, event format — are harder to address because they require design decisions, not procurement decisions.

Event production suppliers, including DJs, can respond to what clients ask for. Most of us have already made the easy switches. Where the larger opportunity sits is in helping clients think about the design-level decisions that actually move the needle.

That's a different conversation. It requires event professionals to go beyond "here's what we can do" and into "here's what you could think about differently." Not all clients want that conversation. But the ones who are genuinely engaged with sustainability — rather than simply responding to reporting requirements — tend to appreciate it.

The Honest Assessment

Event production has real sustainability challenges. They're not impossible to address, but they require honest prioritisation rather than cosmetic adjustments.

The shift to LED, the reduction of printed waste, the use of reusable materials — these are genuine improvements. But they don't substitute for harder conversations about format, travel, and the design choices that precede the production phase.

DJ equipment is a small part of this picture. A professional sound system is a larger part. A hundred people flying to attend is the largest part of all.
